OUR TRANSLATION PROCESSES CONFORMING TO THE EN 15038 TRANSLATION SERVICES STANDARDS
MAKING AN OFFER
The sales department and the sales manager execute this process. The process involves requesting the text for translation from the company asking for translation, delivering customers the “TRANSLATION REQUEST FORM” they need to complete, and doing the first assessment by considering the request form attached to the source file sent by the customer. The process also entails preparing and making an offer conforming to the standards set by the sales department of our company after specifying the feasibility (identification of the sources to be utilized, evaluation of the controller in charge and consulting the editor), language of the text, requested language, the type of the text, and the delivery time.
ACCEPTING THE WORK
The sales department and the sales manager execute this process. The process involves handing in and receiving the contract, concerning the qualities of the service, transactions, the company and customer liabilities, payment, payment time and payment method, and the competent courts in case of disagreements, to the customer. If requested by the customer, this process also entails delivering and receiving the confidentiality agreement, which stipulates non-disclosure of the information provided in the text. Subsequently, the process requires the transfer of the “TRANSLATION REQUEST FORM” and all detailed information about the text to be translated (including customer title, concerning person, bill information, delivery address and method, delivery time etc.) to the accounting and project manager.
This process is carried out by the project manager. Project planning involves filling the “TRANSLATION REQUEST FORM”, completing the executive and accounting operations before starting the translation (releasing the accounting customer card, controlling and completing the service and confidentiality agreements), notifying departments and officers about imperfect or uncompleted operations and eliminating such problems, assessing customer and project information provided by the sales department, and, in accordance with these information, appointing editor, controller (If necessary, depending on the type of the document and customer’s special requests such as medical, juridical or technical), and the translator for the requested language. The project also entails evaluation of the customer’s special requests and informing concerning officers with regard to such requests, and/or preparing and delivering the job definition concerning DTP (Page layout), and transferring the text to the translator as the first stage of the project.
This process is carried out by the translator appointed to the project. It is the accurate, fluent, and grammatically correct translation of the source file, which is done with utmost attention to technical usage of words and to the customer demands and the information provided by the project manager of the source file. After translation is completed, this process entails the first check (soundness of the translation, identifying imperfections and mistakes and correcting them), and subsequently delivering the completed “TRANSLATOR DELIVERY REPORT” alongside the text to the project manager.
This process is carried out by the controller appointed to the project. The controller is responsible for performing the second check (checking the correctness of the translation, grammar, technical words, and identifying imperfections and mistakes, and correcting them) based on “TRANSLATOR DELIVERY REPORT” and the text received form the translator or the project manager and in accordance with the controller’s specialized language and professional background. After the second check, the controller completes and transfers the “CONTROLLER PROJECT DELIVERY FORM” alongside the text.
This process is carried out by the editor appointed to the project. The process involves the final check of the text with the text and the report provided by the controller (checking the correctness of the translation, grammar, technical words, and identifying imperfections and mistakes, and correcting them), completing the “EDITOR CHECK REPORT” and transferring it to the prject manager.
FINALIZING THE PROJECT
This process is carried out by the project manager. The process involves checking the reports provided by the translator, the controller, and the editor assigned to the project, notifying the accounting department for finalizing the project and closing the file, evaluating and scoring the translator assigned to the project, archieving the source text, translated text, and project information, preparing the finalized product in accordance with standard delivery method and customer requests, and transferring the translated text to the sales department for delivery.
Delivery is carried out by the sales manager. This process involves the delivery of the translated document provided by the project manager in accordance with appropriate standards and special requests made by customers.
